Admissions - Fax Indexing Clerk, Decatur

Job Summary:  

Centralized fax indexing is responsible for indexing incoming faxes to the medical record to initiate a workflow, which is applied based on the receiving fax number with the potential to receive patient information or referrals within WHS and WHC. 
All patient related faxes will be indexed to the medical record within target timeline. 
Incorporates AIDET into daily communications with patients, families, visitors, and staff.
  • Verifies that correct patient is being selected and that no other medical record exists. Understands the importance to ensure this is done correctly and understands the patient safety issue if not verified correctly. 
  • Index fax to appropriate medical record and/or visit
  • Process an accurate express registration if medical record does not exist to allow indexing to the medical record
  • Understands the importance of using correct document types for indexing
  • Refers to centralized scheduler
  • Complete understanding of admission process and importance of accuracy with all information
  • Assists in ensuring that all patient information and documents are secure and confidential in accordance with HIPPA and hospital guidelines.
  • Maintains current knowledge of document types and efax workflow process to ensure compliance with current hospital policies and procedures. 
  • Demonstrates full knowledge of admission process as it relates to express registration to support indexing a document. 
  • Perform other duties as assigned
Reporting Relationship: 
  • Functionally – Manager of Centralized Scheduling
  • Operationally – Director of Admissions
 
Requirements:
  • 1) High School Graduate preferred   
  • 2) Prior experience in detailed industry preferred
 
OSHA TASK CATEGORY THREE:
  • There is no anticipated risk of exposure to mucous membranes or skin contact with blood, body fluids, or tissues, or a potential for spills or splashed during the performance of the job. 
  • Universal precautions must be observed and protective devices worn by the employee when performing a task that is likely to cause exposure.
 
Employment standards include current requirements as determined by Federal, State, and Wise Health System policy.
 
Physical Demands: 
  • Ability to lift thirty (30) pounds

Employee Status:
